10 STEPS TO FOLLOW WHEN IMPLEMENTING ISO 45001:2018

If you are planning on implementing an Occupational Health & Safety (OH&S) Management System using the requirements of ISO 45001:2018, you will need to take steps towards ensuring your system is implemented right the first time. Although the steps we highlight below are not guaranteed to help you pass your audit, they will go a long way saving you time and keeping your project on track.

1. Get top management support

How will you go about achieving critical support from top management? Safety professionals and Risk Managers should understand the standard’s requirements and how it can positively impact the company’s bottom line. Armed with these insights, you can develop a strong business case for why your organisation should implement the standard.

2. Know the legal requirements  

Do you know all the health and safety laws applicable to your industry? Section 6.1.3 of ISO 45001:2018 outlines the requirements for knowing and maintaining your compliance, so that your implementation will succeed.

3. Define the scope of the OH&S Management System

Is your OH&S management system applicable to your entire enterprise or only one location of a multi-location company? This is critical for writing your OH&S Policy, that will guide your OH&S Management System.

4. Define processes and procedures

What processes and procedures need to be defined to control OH&S hazards? How will you identify them? What risk assessment do you need to do? What can be controlled through proper training and awareness?

5. Implement the OH&S processes and procedures

What do you need to do to put into place the processes and procedures from Step 4? How will you roll-out and manage the additional responsibilities that some employees will now have?

6. Train your employees 

How will you make your employees aware of the ISO 45001:2018 requirements? Will they attend training sessions and where? Who needs to be trained? It is important that everyone knows how they fit into the OH&S Management System structure and what is required of them.

7. Keep records

What do OH&S records tell you about your processes? Do you need to modify anything through your corrective action process? Do your employees understand what they need to do or is further training needed? Do you see areas for improvement and how can you take advantage of this?  

8. Conduct internal audits

Internal audits are the tools you use to check each of your processes. What are they telling you? Are your records adequate to show the process is working? Are there any problems that you need to fix with the corrective action process? Do some areas need more frequent audits?

9. Conduct a management review

Is your OH&S Management System functioning as expected? Is it properly implemented and effective? Are improvements being made and are adequate resources being supplied to the effort?

10. Corrective actions

Are there problems in your OH&S Management System you need to fix?  Use your corrective action process to find the root cause of the problem and address this cause with corrective action.

I’m A Celebrity… Get Me Out Of Here! is classic reality TV show. What could be better than putting a bunch of famous people in a jungle, surrounding them with creepy crawlies and putting them through gruelling challenges in return for food tokens?

To put you in the picture – if you’re not yet a fan – the first season of the Australian smash-hit TV series was filmed in the Kruger National Park. The series’ Risk Adviser described this experience as being “on another level”.

“We had a cast and crew of 400-plus people with hippos, lions and snakes everywhere – basically everything that can kill you,” he says. “Then we pushed celebrities downhill and had them swinging from hot-air balloons 50 metres above the ground. It was a monstrous undertaking and while I loved the challenge, it really tested my ability to manage risk.”

Clearly few workplaces face the same challenges. But the point of this anecdote is to illustrate that Risk Management shouldn’t be about preventing risk-taking; rather it should be about using it for opportunity and success!

RISK MANAGEMENT CONVERSATIONS ARE CHANGING

According to the CEO of Wynleigh International Certification Services, Tony Cunningham:

“There’s been a shift in Risk Management thinking. In the past, Risk Management was often an exercise in avoidance and focused mainly on completing compliance-driven activities. Now many organisations are reviewing risk in terms of its potential to drive performance and value.”

Tony points out that the approach to risk in workplaces is going through a similar shift. “The safety profession is now looking at both leading and lagging indicators to examine safety and health risks present within an organisation,” he says.

As part of an effective Occupational Safety and Health (OS&H) program, you should track both lagging and leading indicators. Lagging indicators measure what has already happened and allow you to track the changes in incident rates over a specific time period in the past but are a poor gauge of prevention.

Leading indicators, on the other hand, help you to evaluate whether safety and health performance is improving and whether it will continue to improve in the future. They are proactive, preventative and predictive measures and focus on future safety performance and continuous improvement.

This evolution of the safety profession towards risk-based prevention analysis and continuous improvement culminated in the ISO 45001:2018 Occupational Health and Safety Management System standard.

ISO 45001:2018 helps to identify OH&S hazards, risks and opportunities and proactively manage workers’ wellness and safety. In addition, the standard calls on management and leadership to:

STEP 3 - PLANNING

Determine risks and opportunities through assessment of current performance and identify the RTS performance factors that are relevant. Set objectives and targets for factor and develop action plans.

STEP 4 - IMPLEMENTATION

Implement and operate the RTS Management System, and ensure that sufficient capacity is provided for the objectives and targets to be met.

STEP 5 - MONITORING & EVALUATION

Monitor and evaluate RTS performance, conduct internal audits and periodic reviews of the RTS Management System to identify opportunities for continual improvement.

STEP 6 - CONTINUAL IMPROVEMENT

Improve the RTS Management System on a continual basis, following review of RTS performance and of the RTS Management System itself.

ISO 45001:2018 has been heralded as a ‘game changer’ in the world of voluntary safety management standards. Earlier this year, ISO 45001 was approved by voters of countries from around the world, and has been praised by the American Society of Safety Professionals as a ‘watershed moment’. It is one of the most significant developments in workplace safety over the past 50 years, presenting an opportunity to move the needle on reducing occupational health and safety risks.

The addition of ISO 45001 to the suite of ISO management system standards reinforces that Occupational Health & Safety is a key area of business performance for organisations, and that OH&S is about a lot more than legal compliance. When it is well integrated into the management of an organisation, good OH&S management is an enabler and an asset for a business rather than a cost.
